Terms & Conditions

Last updated October 19, 2026

These terms explain how Bent Arrow Travel works with you and with the travel suppliers who provide your trip. Please read them carefully. If anything is unclear, ask us before you book.

1. Agreement and acceptance

By requesting a booking, paying a deposit, or otherwise using the services of Bent Arrow Travel LLC ("Bent Arrow Travel", "we", "us"), you agree to these Terms & Conditions on behalf of yourself and everyone traveling in your party. You confirm that you are at least 18 years old, that you are authorized to accept these terms for every traveler you book for, and that the information you give us is accurate and complete.

You are financially responsible for every booking made on your behalf. We may cancel a reservation, and you may forfeit amounts paid, if these terms are violated.

2. Scope of our services

Bent Arrow Travel acts only as a booking agent for independent third-party suppliers, including airlines, cruise lines, hotels, tour operators, ground transportation companies, and travel insurers. We do not own, operate, or control any of these suppliers, and we are not the provider of the travel services you purchase.

When you book, you enter into a separate contract with each supplier. Each supplier's own terms and conditions, including its rules on payment, cancellation, baggage, and liability, apply in addition to these terms. We will share those terms on request, and you are responsible for reviewing them.

Bent Arrow Travel is an independently owned and operated affiliate of Host Agency Name.

3. Payments, deposits, and fees

  • Deposits. A deposit is due at the time of booking to secure your reservation. The amount and due date are set by the supplier and will be shown on your invoice. Reservations without a deposit received by the due date may be cancelled.
  • Final payment. The balance is due by the final payment date on your invoice, which is often 60 to 120 days before departure. Late payment may result in cancellation by the supplier and loss of your deposit.
  • Planning fee. Our trip planning fee is $0. It covers research, design, and booking work and is non-refundable once work has begun, even if you later cancel.
  • Price changes. Prices are not guaranteed until paid in full, and even then suppliers may impose increases for fuel, taxes, government fees, or currency fluctuations. You are responsible for any such increase.
  • Payment method. Payment authorizes us to pay suppliers on your behalf. Some charges may appear on your statement directly from the supplier. We recommend paying by credit card. Returned checks are subject to a fee.

4. Changes and cancellations by you

We will try to accommodate requested changes, but we cannot guarantee that a supplier will allow them. Many airfares, group rates, and promotional fares cannot be changed at all.

  • Each change is subject to the supplier's change fees plus our change fee of $35 per person.
  • If you cancel, the supplier's cancellation penalties apply, plus our cancellation fee of $50 per person. Penalties typically increase as departure approaches and may reach 100% of the trip cost.
  • Many travel products, including most airfare, are strictly non-refundable. Deposits may be non-refundable from the moment they are paid.
  • Cancellation requests must be made in writing to hello@bentarrowtravel.com.
  • Any refund the supplier permits is paid once we receive it from the supplier, which usually takes 6 to 8 weeks. Our fees are not refundable.

5. Changes and cancellations by suppliers

Suppliers, governments, and other third parties may cancel trips, change itineraries, substitute ports of call, hotels, or flights, or refuse service at any time, sometimes without notice. Suppliers may also pass on to you costs caused by events beyond their control. We will notify you of significant changes as soon as we learn of them and help you with your options, but we are not responsible for supplier changes or their consequences.

If a supplier lowers its price after you book, we are not obligated to obtain the lower price for you, although we will try when the supplier allows it.

6. Travel insurance

We strongly recommend comprehensive travel insurance covering trip cancellation and interruption, medical care, emergency evacuation, and baggage. Some coverage must be purchased shortly after your initial deposit to include pre-existing conditions. Your regular health insurance may not cover you outside the United States.

If you decline travel insurance, you accept full financial responsibility for any losses that insurance would have covered, including cancellation penalties and medical or evacuation costs.

7. Travel documents, health, and destinations

Review your travel documents as soon as you receive them and tell us immediately about any error. Names must exactly match the traveler's passport or government ID.

You are responsible for obtaining and carrying valid passports, visas, entry permits, and any required health documentation. Many countries require a passport valid for at least six months beyond your return date. We are not responsible if you are denied boarding or entry because of missing or incorrect documents, though we will help where we can. Check current requirements with the U.S. Department of State, the CDC, and U.S. Customs and Border Protection.

By offering travel to a destination, we do not represent that travel there is advisable, safe, or without risk. Review government travel advisories before booking and before departure. Some trips involve walking, hiking, or other physical activity; you are responsible for ensuring every traveler is fit to participate.

8. Required air travel disclosures

Insecticide notice

Some countries require that aircraft cabins be sprayed with insecticide before or while passengers are on board. Federal law requires us to refer you to the U.S. Department of Transportation's list of countries that may require this: transportation.gov/airconsumer/spray.

Hazardous materials notice

Federal law forbids carrying hazardous materials aboard aircraft in your luggage or on your person. A violation can result in five years' imprisonment and penalties of $250,000 or more (49 U.S.C. 5124). Hazardous materials include explosives, compressed gases, flammable liquids and solids, oxidizers, poisons, corrosives, and radioactive materials. Examples include paints, lighter fluid, fireworks, tear gases, oxygen bottles, and radio-pharmaceuticals. There are special exceptions for small quantities (up to 70 ounces total) of medicinal and toilet articles carried in your luggage, and for certain smoking materials carried on your person. Lithium batteries are subject to special rules. For details, see the FAA's PackSafe guidance.

9. Limitation of liability and force majeure

Suppliers are independent contractors, not our agents or employees. Bent Arrow Travel is not liable for any act, error, omission, or negligence of any supplier, or for any resulting injury, illness, death, loss, damage, delay, or expense.

We are not responsible for losses caused by events beyond our reasonable control, including weather, natural disasters, epidemics and pandemics, quarantines, war, terrorism, civil unrest, strikes, government actions or travel restrictions, airline schedule changes, delays, overbooking, mechanical failures, or supplier insolvency. No refund of our fees is owed in these circumstances.

Our services and the information on our website are provided "as is." Prices and descriptions may contain errors, and we reserve the right to correct them. To the fullest extent permitted by law, we are not liable for any indirect, incidental, special, punitive, or consequential damages, and our total liability for any claim will not exceed the fees you paid directly to Bent Arrow Travel.

10. Billing disputes and chargebacks

If you have a concern about a charge or a travel service, you agree to contact us first at hello@bentarrowtravel.com so we can work with you and the supplier to resolve it. Billing questions must be raised in writing within 60 days of the invoice date; charges not questioned within that time are considered accepted.

You agree not to dispute or charge back a credit card payment for cancellation penalties or fees you agreed to in these terms, for services you received, or for supplier actions, changes, or events beyond our control. We will provide these terms, your signed or acknowledged booking authorization, and our correspondence to your card issuer in response to any dispute. You remain responsible for amounts reversed through an unwarranted chargeback, plus any fees we incur to recover them.

You may use our website only to research travel and make legitimate inquiries and reservations. You agree not to make speculative, false, or fraudulent requests, and not to copy, scrape, frame, or monitor our content by automated means without our written permission.

You consent to us sharing that information with suppliers, insurers, and our host agency as needed to provide your services. We do not sell your personal information. Our Privacy Policy describes our practices in more detail.

  • Message frequency varies. Message and data rates may apply.
  • Reply STOP to opt out at any time; you will receive one confirmation message. Reply HELP for help.
  • Mobile carriers are not liable for delayed or undelivered messages.
  • We do not share your mobile number or opt-in consent with third parties for their marketing.

14. Indemnification

You agree to indemnify and hold harmless Bent Arrow Travel LLC, Host Agency Name, and their owners, employees, and agents from any claims, losses, damages, and costs, including reasonable attorneys' fees, arising from your breach of these terms, your violation of any law or the rights of a third party, or your use of our website.

15. Governing law

These terms are governed by the laws of the State of Florida, without regard to its conflict of law rules. Any dispute arising from these terms or our services will be resolved exclusively in the state or federal courts located in Florida, and you consent to their jurisdiction. If any provision is found unenforceable, the remaining provisions stay in effect.

16. Seller of travel disclosure

Bent Arrow Travel LLC, Jacksonville, FL 32218, is registered with the State of Florida as a Seller of Travel, Registration No. ST-00000.

17. Changes to these terms and contact

We may update these terms from time to time. The version in effect when you book applies to that booking. Questions? Email hello@bentarrowtravel.com or call (555) 555-5555.
